Boolean search for B2B prospecting: a practical guide

Learn how to build Boolean job-title searches with OR, AND, NOT, quotation marks, and grouping to find more relevant B2B decision-makers.

    The short version

Good Boolean searches broaden title coverage while keeping role intent precise through grouping and exclusions.

    Why exact-title searches miss buyers

Companies describe similar responsibilities with different titles. Searching only “VP Sales” may miss a Head of Revenue, Commercial Director, Chief Revenue Officer, or regional sales leader who owns the same decision.

Boolean logic lets you represent a title family in one query while preserving control over seniority, function, and irrelevant roles.

Use OR to capture equivalent titles

OR broadens a search to include any listed variation. Put exact multi-word titles in quotation marks and group related titles in parentheses: ("VP Sales" OR "Head of Sales" OR "Chief Revenue Officer").

Start with the responsibilities of the buyer, then list the common ways companies name that role. Include abbreviations only when they do not introduce unrelated results.

    Use AND to add context

AND requires another condition, such as an industry keyword, skill, or market. It is useful when a broad title family crosses multiple functions. Too many AND conditions can eliminate strong prospects, so add context gradually and review samples.

    Use NOT carefully

NOT removes predictable false positives such as assistants, recruiters, consultants, interns, or unrelated specialties. Review excluded profiles before expanding the list because one broad negative term can remove relevant buyers.

    • Group every OR title family.
    • Quote exact multi-word titles.
    • Add exclusions based on real false positives.
    • Split very long queries into clear segments.

Move from query to usable list

Boolean logic identifies possible people. Complete the audience with company filters, location, contact requirements, and timing signals. Then sample results before exporting.

SearchLeads’ free Boolean generator and title builder help create the query, while the main database search turns it into a contactable prospect list.
